Choosing a wedding venue in Chicago is the first big decision you’ll make as an engaged couple, and almost everything else — your budget, your date, your guest count, your whole vibe — bends around it. So it’s a little wild that most venue advice online reads like it was written by someone who’s never actually run an event.

We have. Le Loft is owned and run by three Chicago women with 15+ years between us in weddings, photography, and event production. We’ve stood in the room at 11 p.m. when the last song plays, and the floor is covered in confetti. So here’s the honest version of how to choose, written the way we’d explain it to a friend over coffee.

Start with the feeling, not the floor plan

Walk into a space and notice your body before your brain. Do you exhale, or do you start mentally rearranging furniture? The venues that work are the ones where you can already picture your people in the room. A hotel ballroom can be made beautiful, but it starts as a blank rectangle that needs thousands of dollars in decor to feel like anything. A space with real character — exposed brick, factory windows, color on the walls — does half the decorating before you spend a dollar.

Get crystal clear on your real guest count

Not the aspirational list. The real one. Chicago venues are priced and sized for specific counts, and the sweet spot for a wedding that feels warm and personal is smaller than most people assume. At Le Loft we seat 78 and hold up to 99 standing, and couples are consistently surprised by how much better an intimate count feels — every guest is someone you actually want there, and you get to talk to all of them.

Ask about the policies that quietly control your budget

This is where the real money lives, and it’s buried in the fine print. Before you fall in love, ask:

  • Can we bring our own alcohol? BYOB venues can save you thousands versus a venue bar with per-head minimums and markups.
  • Can we choose our own caterer, or are we locked into an in-house list? Open-vendor policies put you in control of both menu and price.
  • What’s actually included — tables, chairs, linens, setup, sound, lighting? “Venue rental” can mean wildly different things.
  • What are the overtime and cleaning fees, and when does the clock start and stop? For Le Loft’s policies, check out our faq page.

Check the light (your photos depend on it)

Tour at the same time of day your wedding will happen. A space that glows at 2 p.m. can feel like a cave at 7. Natural light is the single biggest favor you can do your photographer — and your photos are the thing you keep forever. Floor-to-ceiling windows aren’t a luxury; they’re an investment in every image from the day.

Picture the flow, not just the photos

Where does the ceremony happen? Where do guests go during the flip to the reception? A two-room layout — a bright side for vows and dinner, a moody side for the dance floor — solves the awkward “everyone stands in the parking lot during cocktail hour” problem. Walk the path your guests will walk and make sure it feels natural.

Trust the team as much as the room

You’re not just renting square footage; you’re trusting humans to help your day go right. On your tour, notice whether the people running the place seem excited about your event or exhausted by it. A team that asks about your story instead of reciting a package is a team that’ll have your back when something inevitably runs five minutes behind.

When you find the space where you exhale, the numbers make sense, and the people get you — that’s your venue. Everything after that gets easier.
