Every event space looks incredible in photos. The questions you ask on the tour are what tell you whether it’ll actually work for your wedding, your party, or your shoot — and whether the price you were quoted is the price you’ll pay. Bring this list. Watch how quickly (and how honestly) they answer.
- What’s included in the rental, exactly? Tables, chairs, linens, setup, sound, lighting, WiFi — get the full list in writing. “The space” can mean an empty room or a turnkey setup, and the gap between them is hundreds of dollars in rentals.
- What are the access hours, and when does the clock start? You need time to set up and clean up. If load-in eats into your event window, your four-hour party is really a two-hour party.
- What’s the real capacity — seated and standing? A room rated for 99 standing might only seat 78 comfortably. Ask for both numbers so you’re not cramming. Another tip: ask if there are floor plans and seating layouts available. This will help you better visualize your setup.

- What are all the fees? Cleaning, overtime, security, service charges, insurance. Ask, “Is there anything that isn’t on this quote that could end up on my final invoice?” and watch their face.
- Is there a bridal/green room or private space? Whether you’re getting ready, stashing gifts, or giving talent a place to change, that extra room matters more than you’d think.
- How does parking and rideshare work? In Chicago neighborhoods, this is make-or-break for guests. Free street parking, a loading zone, and easy rideshare drop-off beat a confusing garage every time.
- What’s the layout flexibility? Can the room flip from ceremony to reception? Can it split for separate cocktail and dinner zones? A space with two distinct areas solves a lot of timeline problems.
- What does the light look like at my event’s time of day? Tour at the hour you’ll actually host. Natural light makes your photos and your space — and it changes completely from afternoon to evening.
- What’s the cancellation and rescheduling policy? Life happens. Know the refund windows before you sign, not after.
- Who’s actually there on event day? Is there an on-site manager? A point person if the WiFi drops or a vendor gets lost? Knowing a real human has your back is worth a lot.

The bonus question that tells you everything
“What kind of events go best here?” A great venue knows exactly what it’s for and will happily tell you if you’re not a fit. A venue that says “oh, anything!” to every question is a venue that hasn’t thought hard about your day. The right space has a point of view — and it should match yours.
